The Role

A fantastic opportunity within an impressive London university has arisen for an Executive Assistant to joint their project-focused and friendly team.  This EA role sits within a team of 5 EAs who work collaboratively to achieve the goals of the President’s Office.  You will sit in an open plan office along with other EAs and with the senior leaders where everyone supports their own managers.  You will provide EA support to various members of the President’s Senior Leadership Team.  This could be supporting the Vice President of Research, the Vice President of Enterprise, Engagement and Employability, and the Director of HR, but this can be rotated, dependent on business need.

This role is hybrid, 4 days a week on site but you will need to be flexible to work more days on site on some occasions when needed (e.g. for committees of events).  Where possible, on occasions, you may also be able to work some 3-day weeks on-site.  Flexibility is the key here.

Key duties include:

  • Manage all aspects of the diary, including the effective organisation of and preparation for meetings, committees, events and travel
  • Provide support at corporate events, arranging and servicing meetings, travel arrangements within the UK and overseas, and project administration.
  • Provide a front of house service, welcoming guests and organising high profile events and visits
  • Prepare, collate and distribute information relating to various Committees
  • Provide project support for strategic projects being led by the President’s Office, including research, drafting documents and collating sources and resources related to projects
  • Provide information to support decision making relating to strategic developments for the University

Essential experience required:

  • Preferable experience working within the higher education sector
  • Experience of providing direct executive assistant support to a senior leader
  • Excellent written and oral communication skills
  • Excellent organisational skills
  • A positive approach with a desire to resolve issues
  • Good Microsoft Office skills

**please note the stated salary is effective from 1st March when the cost of living increase will be applied.
